2. What information do we collect?
The information we collect depends on how you interact with us.
| When you interact with us | Information we may collect |
|---|---|
| Visit our website | Your IP address, browser and device information, pages visited and referring website. We also collect information through Google Analytics and Meta Pixel, as explained in section 7. |
| Sign up for emails or resources | Your name, email address, the resource you requested, and your subscription preferences. |
| Enrol in a programme | Your name, email address, order details, billing information required at checkout, and payment status. Our payment providers, Razorpay, Stripe and PayPal, process your payment information. We receive details such as your name, email address, the amount paid and the payment status. We do not receive or store your full card number or card security code. |
| Use your programme account | Account details, enrolment and access records, and learning activity such as lesson completion where tracked by the learning platform. |
| Contact us | Your contact information, the content of your message, and any attachments you choose to provide. |
| Join a live session or community | Your display name, attendance or membership details, and anything you choose to share through chat, voice, video or posts. If we record a session, we’ll explain what the recording may capture and who can see it. |
| Give feedback or provide a testimonial | Your feedback and any details you choose to include. If we ask to publish an identifiable testimonial, photo or story, we’ll explain how it will be used and seek your permission separately. |
Most of this information comes directly from you. We may also receive information from the services we use, such as payment confirmations from our checkout provider, access records from our learning platform, or delivery and unsubscribe information from our email provider.
Some information is needed to fulfil a request. For example, we need an email address to send programme access and enough order information to investigate a billing issue. Other details, such as feedback or personal experiences shared during a session, are optional.
3. How do we use your information?
We use personal information to deliver programmes, communicate with you and operate She Rituals. Where privacy law requires us to identify a lawful basis, the table below explains the basis we rely on for each activity.
| Why we use your information | Lawful basis where applicable |
|---|---|
| Process orders, confirm payments and provide programme access | To perform our contract with you or take steps you request before entering into a contract. |
| Answer questions, resolve access issues and manage refunds | To perform our contract, meet legal obligations where applicable, or pursue our legitimate interest in resolving enquiries and providing customer support. |
| Send enrolment confirmations, access instructions and essential programme updates | To perform our contract or pursue our legitimate interest in keeping you informed about a service you requested. |
| Send newsletters, educational emails and promotional offers | Consent where required. If we use another basis permitted by local law, we will explain it at the point of collection and offer an opt-out. |
| Protect our website, accounts and community | Our legitimate interests in preventing fraud, securing accounts, investigating misuse and maintaining a respectful learning environment. |
| Understand how our website is used and measure our advertising | Our legitimate interests in understanding how visitors use our website and measuring our advertising. We use Google Analytics and Meta Pixel for this. |
| Keep records and respond to legal obligations | Compliance with applicable legal obligations, including tax and accounting requirements. We may also use relevant records where necessary to establish, exercise or defend a legal claim. |
Where we rely on legitimate interests, we consider how the activity affects your privacy and whether your rights and interests outweigh our reasons for using the information. Health information requires separate consideration, as explained below.
4. Health information and personal experiences
You can learn with She Rituals without sharing a personal health history. Please avoid sending medical records, test results, prescription details or other sensitive information through general contact forms, email or community groups.
If you tell us about symptoms, diagnoses, medication or other health matters, what you share may be sensitive personal information. Sharing it in a message or group does not give us permission to reuse it for a different purpose, such as marketing.
If a specific activity asks for health information, we’ll explain what we’re asking for, why it’s needed, who can see it, how long we keep it and whether you can participate without providing it. We’ll identify the lawful basis and any additional legal condition required to handle health information. Where we rely on explicit consent, we’ll ask for it separately and explain how to withdraw it.
5. Community groups and live sessions
Some programmes may include a group space or live session. Depending on the platform and your settings, other participants may see your profile name, photo, phone number, messages, or anything you share through your camera or microphone.
If a community runs on WhatsApp or another third-party platform, the provider handles certain information under its own privacy policy. Please review the platform’s settings and share only what you’re comfortable making visible to other members. We ask participants to respect each other’s privacy, but we cannot control information someone independently saves or shares.
Where a session will be recorded, we’ll tell you beforehand what may be captured, who will have access, how long the recording will be available and what participation options are offered if you prefer to stay off the recording.
6. Emails and marketing preferences
You can unsubscribe from promotional emails at any time using the link in the email or by contacting hello@sherituals.com.
If you’re enrolled in a programme, you may still receive messages needed to deliver your purchase, such as payment confirmations, login instructions, schedule changes or responses to support requests. We may retain a minimal record of your opt-out so we can honour it.
7. Cookies, analytics and advertising
Cookies and similar technologies can help a website function, remember settings, measure visits or support advertising. She Rituals uses the following:
- Essential technologies support functions such as checkout, account access and site security.
- Google Analytics helps us understand how visitors use the website and where they encounter problems.
- Meta Pixel helps us measure our campaigns and deliver more relevant advertising.
You can block or delete cookies in your browser settings. You can also use Google’s opt-out add-on for Google Analytics and manage your ad preferences on Meta.
8. Who do we share information with?
We share personal information as needed for the purposes described above. The recipients may include:
- Website hosting and technology providers, including Hostinger and Google Fonts, that host the site, maintain accounts or support security.
- Checkout and payment providers, namely Razorpay, Stripe and PayPal, that process transactions, prevent fraud and handle refunds.
- Analytics and advertising providers, namely Google and Meta, that help us understand website use and measure our advertising.
- Learning and video platforms that provide course access, track progress where enabled, or host live sessions and recordings.
- Email and customer support providers that help us send communications and respond to enquiries.
- Community platform providers and authorised moderators that help deliver or manage programme communities.
- Programme facilitators and guest educators, where they need access to deliver a session or respond to a question shared with them.
- Professional advisers, regulators or public authorities, where disclosure is necessary for legal, accounting or regulatory purposes.
9. International transfers
She Rituals operates from India. Depending on where you live and which providers support our website, checkout, programmes or community, your information may be stored or accessed in India.
Where an international transfer is subject to legal restrictions, we use the transfer mechanism or safeguards required by applicable law.
10. How long do we keep information?
We keep personal information for as long as we need it to provide your programme, respond to your requests, meet our legal obligations and resolve any outstanding issues. The table below explains when each retention period starts.
| Record | Retention period or criteria |
|---|---|
| Orders, payments and refunds | We keep invoices, payment confirmations and refund records for the period required by the tax, accounting and recordkeeping laws that apply to She Rituals. We may keep relevant records longer if needed to resolve an open audit, chargeback or dispute. |
| Accounts and learning activity | We keep your account and learning progress while you have programme access and for up to 12 months after your last programme access ends. We keep any separate purchase records for the period described above. |
| Enquiries and support requests | We keep routine enquiries and support messages for up to 12 months after the enquiry is closed. We keep records relevant to a complaint, payment dispute or security incident for as long as needed to resolve it and meet any related legal obligations. |
| Marketing records | We keep your contact details and preferences while you’re subscribed. If you unsubscribe, we remove you from active marketing lists and keep only the information needed to honour your opt-out and, where necessary, document your previous preferences. |
| Community posts and session recordings | We keep community posts and session recordings under our control while they are available to participants and for up to 90 days after the relevant group closes or recording access ends. Other participants may have saved copies, and third-party platforms may retain information under their own policies. |
| Health information, if collected | We keep health information only for the specific activity for which it was collected. If we receive health details in a private enquiry and need them to respond, we delete or redact those details within 30 days after the enquiry is closed, unless we need to keep them for a legal obligation or an unresolved complaint or claim. If a form or activity specifically requests health information, we explain its retention period when we ask for it. |
| Cookies and technical logs | Cookie lifetimes vary by cookie. We keep routine website security and error logs under our control for up to 90 days. If a log is needed to investigate fraud, a security incident or a dispute, we keep the relevant record until the matter is resolved and any applicable legal retention period ends. |
When information is no longer needed, we delete or anonymise it in line with our retention practices, subject to any legal requirement to keep it.
11. How do we protect your information?
We use secure HTTPS connections to protect information sent between your browser and our website.
Please use a unique password for your programme account. When contacting us about a payment, leave out your full card number, card security code and account passwords.
12. Your privacy rights
Depending on where you live and which law applies, you may have the right to:
- Ask whether we hold personal information about you and request a copy.
- Ask us to correct information that is inaccurate or incomplete.
- Request deletion or restriction of certain information.
- Object to certain uses of your information, including processing based on legitimate interests where the law gives you that right.
- Receive eligible information in a portable format.
- Withdraw consent where we rely on it. This does not affect processing that took place before withdrawal.
- Opt out of certain advertising-related uses where applicable.
- Complain to the relevant privacy authority.
You can object to direct marketing at any time. Use the unsubscribe link in a marketing email or contact hello@sherituals.com
To make a privacy request, email hello@sherituals.com and tell us what you’d like us to do. We may ask for enough information to verify your identity before releasing or changing records. We’ll respond within the time required by applicable law and explain any limits that apply to your request.
If UK data protection law applies, you can raise a concern with the Information Commissioner’s Office at ico.org.uk. If Australian privacy law applies, you can find information about making a complaint through the Office of the Australian Information Commissioner at oaic.gov.au.
13. Children’s privacy
She Rituals programmes are designed for adults. If you believe a child has provided personal information to us, please contact hello@sherituals.com so we can review the circumstances and take appropriate action.
14. Changes to this policy
We may update this policy when our services, providers or legal obligations change. The current version will appear on this page with its effective date. Where required, we’ll notify affected individuals of material changes or ask for consent before using information for a new purpose.
